"Arsip universitas mengelola berbagai macam koleksi seperti arsip tekstual, video, foto, hingga gambar teknik. Pada koleksi tersebut terdapat informasi dan pengetahuan yang beragam. Kantor Arsip sebagai penyelenggara arsip universitas memiliki tujuan agar informasi dan pengetahuan yang terkandung pada sebuah arsip dapat dimanfaatkan oleh sivitas akademika dan masyarakat umum. Mekanisme yang dapat menyimpan pengetahuan dan menghubungkan entitas data pada koleksi arsip universitas adalah dengan ontologi. Penelitian ini bertujuan untuk merancang ontologi arsip universitas. Ontologi pada penelitian ini disusun berdasarkan beberapa sumber (ontologi dan non-ontologi) yaitu Record in Context-Ontology (RiC-O) v-0.1 dan Skema Klasifikasi Arsip dalam format SKOS (Simple Knowledge Organization System). Model ontologi dibuat dengan perangkat lunak Protégé dalam format Web Ontology Language (OWL). Dataset dari koleksi arsip universitas ditransformasi dari bentuk tabel ke dalam format RDF(Resource Description Framework) menggunakan Cellfie Plugin dan Open Refine. Evaluasi dilakukan dengan konfirmasi terhadap domain expert, reasoner Pellet untuk uji konsistensi, dan pertanyaan kompetensi menggunakan SPARQL Query. Hasil penelitian membuktikan ontologi mampu menghubungkan entitas data pada koleksi arsip universitas, memberikan pengalaman baru dalam penelusuran informasi secara komprehensif, dan menjawab pertanyaan kompetensi.

University archives manage various collections such as textual, video, photo and technical drawing archives. The collection has diverse information and knowledge. Kantor Arsip as the organizer of university archives has objective that the information and knowledge contained in an archive can be utilized by academicians and public. The mechanism that can store knowledge and connect data entities in a university archive collection is with ontology. This study purpose to design the university archive ontology. The ontology in this study was compiled based on several sources (ontology and non-ontology), namely Record in Context- Ontology (RiC-O) v-0.1 and the Archive Classification Scheme in the format of SKOS (Simple Knowledge Organization System). The ontology model was created with Protégé software in the Web Ontology Language (OWL) format. The dataset from the university's archivecollection is transformed from tabular form to RDF (Resource Description Framework) format using the Cellfie Plugin and Open Refine. Evaluation is done by confirming the expert domain, Pellet reasoners for consistency testing, and competency questions using SPARQL Query. The results of the research prove that ontology is able to linked unstructure data entity in university archive collection, provide new experiences in comprehensive information retrieval, and answer the competency questions."

"Arsip statis perlu dipelihara karena sebagai memori kolektif oleh lembaga kearsipan yang memiliki nilai guna sekunder, yaitu memiliki nilai guna berkelanjutan. Oleh karena itu, perlunya pengelolaan arsip yang sistematis untuk memperlancar kegiatan dalam temu kembali informasi. Tujuan dari penelitian ini untuk menganalisis Kantor Arsip Universitas Indonesia dalam menerapkan prosedur penyimpanan terhadap proses temu kembali arsip. Rumusan masalah dalam penelitian ini adalah bagaimana prosedur penyimpanan arsip statis yang diterapkan untuk temu kembali arsip dan fasilitas yang digunakan untuk menunjang penyimpanan arsip statis serta melihat kendala yang dihadapi dalam pengelolaan arsip statis. Penelitian ini menggunakan pendekatan kualitatif dengan metode studi kasus. Dalam pengumpulan data penelitian menggunakan teknik wawancara, observasi, kajian pustaka, dan studi dokumentasi. Hasil penelitian ini menunjukkan bahwa kegiatan dalam prosedur penyimpanan arsip statis Kantor Arsip Universitas Indonesia sudah sesuai dengan pedoman yang meliputi pemeriksaan, mengindeks, memberi tanda, menyortir, dan menyimpan arsip, serta menerapkan prinsip provenance dan original order dalam sistem penyimpanan. Fasilitas dalam menunjang penyimpanan arsip statis meliputi rak besi, lemari besi, roll o’pack, map/amplop, box/dus, AC, alat pengukur suhu, APAR, mesin fumigasi, dan CCTV. Dalam pelaksanaannya pada prosedur penyimpanan sudah dijalankan dengan baik dan terstruktur, tetapi ditemukan beberapa kendala yang dihadapi yaitu seputar prosedur penyimpanan, kondisi ruang penyimpanan, dan fasilitas pendukung, serta sumber daya manusia.

Static archives need to be maintained because they are a collective memory by archival institutions that have secondary use value, namely having sustainable use value. Therefore, there is a need for systematic archive management to facilitate activities in information retrieval. The purpose of this research is to analyze the Archive Office of the University of Indonesia in applying storage procedures to the archive retrieval process. The formulation of the problem in this study is how the procedure for storing static archives is applied to retrieve archives and the facilities used to support storing static archives and seeing the obstacles faced in managing static archives. This research uses a qualitative approach with a case study method. This research uses several data collecting methods which include interviews, observation, literature review, and documentation study. The results of this study indicate that the activities in the procedure for storing static archives at the Archives Office of the University of Indonesia are in accordance with the guidelines which include checking, indexing, marking, sorting, and storing archives, as well as applying the principles of provenance and original order in the storage system. Facilities to support static archive storage include iron shelves, safes, roll o'packs, folders/envelopes, boxes, air conditioners, temperature gauges, fire extinguishers, fumigation machines, and CCTV. In its implementation, the storage procedures have been carried out properly and in a structured manner, but several obstacles were encountered, namely regarding storage procedures, storage room conditions, and supporting facilities, as well as human resources."

"Pada saat ini telah dibangun Portal Open Data UI, yang merupakan portal berbasis Semantic Web untuk mengintegrasikan berbagai sistem administrasi akademik di UI. Penelitian ini ditujukan untuk membuat ontologi evaluasi akademik yang akan diimplementasikan pada portal tersebut. Ontologi evaluasi akademik adalah pemodelan representasi pengetahuan pada domain akademik yang sesuai dengan kebutuhan evaluasi akademik. Ontologi evaluasi akademik mencakup keterhubungan antar dosen, mahasiswa, perguruan tinggi beserta aktivitas-aktivitasnya di setiap tahun akademik. Ontologi ini dibuat dengan metode Ontology Development 101 dengan langkah-langkah (1) menentukan domain dan cakupan ontologi yaitu dengan cara membuat competency questions, (2) analisis menggunakan ontologi yang tersedia, (3) enumerasi kosakata, (4) mendefinisikan class dan hierarki antar class, (5) mendefinisikan property, dan (5) mendefinisikan slot. Penelitian ini menghasilkan ontologi evaluasi akademik yang mengacu pada proses evaluasi internal semester jenjang S1, S2 dan S3 di Universitas Indonesia. Ontologi yang dihasilkan telah dipublikasikan, agar tidak hanya dapat diterapkan pada Universitas Indonesia, namun juga dapat dimanfaatkan oleh perguruan tinggi lain di Indonesia.

At this time there is Portal Open Data UI, which is a Semantic Web-based portal to integrate various systems of academic administration at the Universitas Indonesia. This research aimed to create academic evaluation ontology will be implemented in the portal. Academic evaluation ontology is modeling knowledge representation in the academic domain that fit the needs of academic evaluation. Academic evaluation ontology connectivity between faculty, students, colleges along its activities at every academic year. This ontology is made by the method of Ontology Development 101 with steps (1) determine the domain and scope of the ontology with competency questions, (2) consider reusing existing ontologies, (3) enumerate important terms in the ontology, (4) define the classes and the class hierarchy, (5) define property, and (5) define slot. This research has resulted ontology academic evaluation refers to the process of semester internal evaluation for undergraduate, master, and doctoral at the Universitas Indonesia. The ontology has been published, so that not only applied to Universitas Indonesia, but also can be used by other universities in Indonesia."

"Laporan magang ini disusun karena penulis menyadari adanya risiko input error pada pekerjaan data entry contract assessment yang dilakukan secara manual oleh KAP LIN pada proyek dengan PT RED. Pada laporan ini, akan dibahas evaluasi terhadap aktivitas kontrol berupa data entry control dan independent check yang dilakukan untuk meminimalisir risiko input error tersebut. Metode evaluasi yang dilakukan yaitu dengan cara memperbandingkan antara pelaksanaan kontrol yang dilakukan KAP LIN saat ini dengan rekomendasi yang terdapat pada teori data entry control dan independent check yang digunakan oleh penulis pada laporan ini. Hasil evaluasi menunjukkan bahwa aktivitas kontrol yang dilakukan KAP LIN pada proyek ini masih kurang memadai, karena kontrol yang ada belum dilakukan secara otomatis, pelaksanaan independent check yang belum rutin, dan sosialisasi hasil independent check yang belum menyeluruh kepada seluruh anggota tim yang melakukan pekerjaan data entry.

This internship report was prepared because the author is aware of the risk of input errors in the data entry contract assessment work which is carried out manually by KAP LIN on their project with PT RED. This internship report will discuss about the evaluation of control activities in the form of data entry controls and independent checks that were carried out to help minimize the risk of input error. The evaluation method used is by comparing the implementation of controls carried out by KAP LIN at this time, with the recommendations contained in the theory of data entry controls and independent check used by the author in this report. The evaluation shows that the control activities carried out by KAP LIN in this project are still inadequate, because the existing controls have not been carried out automatically, the implementation of independent checks has not been done routinely, and the socialization of the results of independent checks has not been fully conveyed to all team members who did the data entry work."

"Tesis ini membahas Manajemen Pusat Arsip khususnya di perguruan tinggi. Penelitian ini dilakukan di Universitas Katolik Indonesia (Unika) Atma Jaya. Penelitian ini adalah penelitian kualitatif dengan desain deskriptif. Data yang dikumpulkan melalui wawancara. Di Unika Atma Jaya memakai istilah Pusat Arsip karena selain mengelola arsip statis, Pusat Arsip juga menjadi koordinator atas unitunit pengolah (Records Center).Hasil penelitian menyarankan bahwa Pusat Arsip perlu disahkan/dilegalkan pendiriannya, masuk di dalam struktur organisasi, dan mempunyai tugas pokok dan fungsinya mendukung tercapainya visi, misi, dan tujuan universitas. Hal ini perlu dibicarakan dan diputuskan di level manajemen tertinggi universitas. Pusat Arsip berperan dalam menunjang tertib administrasi dan operasional universitas dalam menjalankan tugas dan fungsinya.

The focus of this study is the Archives Center Management specifically for higher education. This research was conducted at Atma Jaya Catholic University of Indonesia. It is a qualitative descriptive interpretive design. The data were collected by means of interview. Atma Jaya Catholic University of Indonesia uses Archives Center terminology because one of the responsibilities of the center is to coordinate the University's Records Centers besides its archives (static archives).

The results of the research suggest that Archives Center has to be legally established, included in the organization structure, and provided with job description and function to support the realization of the university?s vision, mission, and aims. All these need to be discussed and decided at the management level of the university. The role of Archives Center is to support the correct conduct of administration, operational duty, and function of the university."

"Di era digitalisasi informasi yang berkembang pesat, universitas memainkan peran vital dalam melestarikan dan menyebarkan aset akademik dan sejarah. Universitas Indonesia telah meluncurkan platform seperti SEKAR dan OVIS, namun masih menghadapi tantangan dalam optimalisasi digitalisasi dan manajemen arsip. Penelitian ini bertujuan merancang antarmuka intuitif untuk situs arsip multimedia yang sesuai dengan kebutuhan khusus UI. Dengan pendekatan kualitatif dan metode pengembangan perangkat lunak dan desain berpusat pada pengguna, tercipta platform bernama UI-Heritage. Ini akan menjadi pusat data arsip universitas dengan antarmuka modern, empat tingkat otorisasi pengguna, fitur pencarian dan kategorisasi yang dioptimalkan, serta penyajian arsip multimedia yang terstruktur. Dibandingkan SEKAR, UI-Heritage menerapkan prinsip desain yang lebih baik. Uji efektivitas desain menggunakan SUS mendapat skor rata-rata yang baik, namun masih ada kekurangan pada arsitektur informasi yang perlu perbaikan saat implementasi. Penelitian ini berkontribusi dalam meningkatkan praktik arsip multimedia universitas dengan menyediakan kerangka kerja komprehensif untuk antarmuka yang memfasilitasi pengguna dalam mengeksplorasi dan berkontribusi pada kekayaan pengetahuan dan budaya universitas.

In the rapidly evolving era of information digitization, universities play a vital role in preserving and disseminating academic and historical assets. Universitas Indonesia has launched platforms like SEKAR and OVIS, yet still faces  challenges in optimizing digitalization and archive management. This research aims to design an intuitive interface for a multimedia archive site tailored to UI's specific needs. Through qualitative approaches and user-centered software development and design methods, a platform called UI-Heritage has been created. It will serve as the university archive's data hub with a modern interface, four levels of user authorization, optimized search and categorization features, and structured multimedia archive presentation. Compared to SEKAR, UI-Heritage applies superior design principles. Usability testing using SUS yielded a good average score, although there are still deficiencies in the information architecture requiring improvement during implementation. This research contributes to enhancing university multimedia archive practices by providing a comprehensive framework for a user-friendly interface facilitating exploration and contribution to the university's wealth of knowledge and culture."

"Kondisi pembatasan aktivitas masyarakat akibat pandemi COVID-19 membuat perguruan tinggi kearsipan menyesuaikan layanan kearsipan. Kesiapsiagaan bencana COVID-19 perlu diterapkan di lingkungan Kantor Arsip Universitas Indonesia. Penelitian ini bertujuan untuk mengidentifikasi kesiapsiagaan Kantor Arsip Universitas Indonesia dalam menghadapi bencana COVID-19 dan bagaimana peran teknologi informasi dalam kesiapsiagaan bencana COVID-19 diterapkan pada pengelolaan arsip elektronik dan kertas. Penelitian ini merupakan penelitian kualitatif dengan metode studi kasus. Hasil penelitian menunjukkan bahwa Kantor Kearsipan Universitas Indonesia telah merespon situasi pandemi COVID-19 dengan melakukan berbagai upaya kesiapsiagaan yang diimplementasikan dalam kegiatan dan pelayanan pengelolaan arsip. Ditemukan juga peran teknologi informasi yang diterapkan dalam pengelolaan arsip elektronik. Ada kendala bagi staf dan pimpinan dalam menjalin komunikasi dan interaksi di masa pandemi. Berdasarkan hasil penelitian, maka saran dari penelitian ini adalah Kantor Arsip Universitas Indonesia perlu membuat rencana pemulihan pascabencana dan mencari upaya untuk menjalin komunikasi yang efektif selama pandemi antara staf dan pimpinan.

The condition of restrictions on community activities due to the COVID-19 pandemic has caused higher education archival institutions to adjust their archival services. COVID-19 disaster preparedness needs to be implemented within the University of Indonesia Archives Office. This study aims to identify the preparedness of the University of Indonesia Archives Office in dealing with the COVID-19 disaster and how the role of information technology in COVID-19 disaster preparedness is applied to the management of electronic and paper archives. This research is a qualitative research with case study method. The results show that the University of Indonesia Archives Office has responded to the COVID-19 pandemic situation by carrying out various preparedness efforts that are implemented in archive management activities and services. It was also found the role of information technology applied in the management of electronic records. There are obstacles for staff and leaders in establishing communication and interaction during the pandemic. Based on the results of the study, the suggestion from this research is that the University of Indonesia Archives Office needs to make a post-disaster recovery plan and look for efforts to establish effective communication during the pandemic between staff and leaders."

"Penelitian ini membahas mengenai proses digitisasi arsip statis dalam pemanfaatan ruang pada Kantor Arsip Universitas Y. Institusi kearsipan memiliki tugas untuk menjaga keberlangsungan dan keutuhan arsip, perlindungan arsip vital, memberikan pembinaan dan pengawasan manajemen arsip dalam mencakup ketatausahaan dan kearsipan di lingkungan Universitas Y, menyimpan dan melestarikan arsip statis. Tujuan penelitian ini menggambarkan proses digitisasi arsip statis melalui kegiatan alih media terdiri dari sejumlah tahapan dengan memanfaatkan peralatan yang tepat untuk jenis arsip statis dan mengandalkan pengetahuan arsip Kantor Arsip Universitas Y. Penelitian ini menggunakan pendekatan kualitatif dengan teknik pengumpulan data melalui metode wawancara dan observasi lapangan. Hasil penelitian menunjukkan bahwa kondisi arsip statis sebagian sudah tertata dan proses digitisasi telah berjalan. Proses digitisasi arsip statis berlangsung menggunakan pedoman digitisasi. Bersamaan dengan kegiatan tersebut, pengetahuan arsiparis terhadap digitisasi arsip statis berdasarkan pedoman yang menentukan keberhasilan kegiatan digitisasi.

This study discusses the process of digitizing static archives of Archives Office of the Y University in term of space matters. Archival institution has to maintain the continuity and integrity of archives, protect vital archives under certain conditions, provide guidance and supervision of archives management in covering administration and archives within the Y University, store and preserve static archives. The purpose of this study is to describe the process of digitizing static archives through media transfer activities consisting of a number of stages by utilizing the right equipment for this type of static archive and relying on the archive knowledge of the Y University Archives Office. This study uses a qualitative approach with data collection techniques through interviews and field observations. The results of the study show that the condition of the static archives is partly organized and the digitization process has been running. The process of digitizing static archives takes place using digitization guidelines. Along with these activities, the archivist's knowledge of digitizing static archives is based on guidelines that determine the success of digitization activities."
